Creating & Assigning Charges to Tenants

When you add a new tenant or update your charges, you may want to adjust your tenant charges. Here's how!

1. Navigate to Tenant Billing Settings under Setup > Settings.

2. Select the Billable Services tab, then click the 'Create Billable Service' button.

5. Fill out all of the required fields including

  • Name: be sure to pick a naming convention that makes sense for your organization. The identifier will show up on your tenant invoices, most customers use an abbreviation.

  • Identifier

  • Fee Type (Metered Usage, Fee, Tax) - see further details on each below.

NOTE: All billable service rates can be modified within each invoice period if needed.

With each fee type, you have a few options to choose from:

  • Metered Usage: When creating a Metered Usage billable service, if you wish to automatically pull utility bills to determine your rate through each invoice period, select the utility company and account number from the drop-down at the bottom-center of the page. Note: You are only able to pull in 1 Utility Account per billable service.

  • When setting a rate, this can be used as a placeholder or you can set a default rate if you wish.

  • Fee: When creating a Fee billable service, you have a few options:

    • Per Tenant - A flat fee for each tenant with the fee.

    • Per Meter - A flat fee for each meter a tenant has associated with them.

    • Per Sq. Ft - A fee for square footage a tenant occupies. In order for this to be calculated correctly, you need to enter the square footage of the space in each Tenant profile.

    • % of Total Usage Cost - A fee based on the amount of metered usage a tenant consumes in a billing period.

  • Tax: Select a tax rate to charge each tenant based on the total charge.

    • Note: If you are pulling a metered usage rate from a utility bill, the tax may also be incorporated in that blended rate.

  • Click save to add this service, and repeat for any other services you may have: CAM charges, meter fees, tenant fees, taxes, etc.

Now to associate that fee with a tenant…

6. Navigate to Tenants under Setup > Properties.

7. Select a Tenant

8. Click the three dots at the top-right and select Add Charge

9. Click the drop-down arrow to select between the charges you’ve already created in Tenant Billing Settings. Once selected, click Save. You can add/delete as many charges as you want to a tenant and update at any point.

10. Repeat this process for every tenant you wish to apply this billable service to.
