Archiving a Former Tenant

Have a tenant that moved out? Here's how to archive them so you can keep their historical invoices but no longer bill them.

When a tenant vacates a space or is replaced by a new tenant, you'll want to archive the former tenant. Archiving a tenant won't delete any charges you had created for them and you'll still be able to access their historic invoices.

  1. Navigate to the Tenants page under Setup > Properties.

2. Select the Tenant that you need to archive.

3. Rename the Tenant, indicating they are a former tenant (ex: Chipotle - Old Tenant), then click Save.

4. Navigate to the Tenant Charges Tab and delete all billable services using the trash icon. If you see a greyed-out trash icon, follow the steps below to remove the meters associated with this tenant.

5. Delete all billable services. Click on a Utility Service.

6. Remove all meters by clicking the X on for each added meter, then click Save.

If you have a meter that is split amongst multiple tenants, you'll need to remove this specific tenant's % allocation before you are able to delete it.

7. Confirm that all meters are not tied to a billable service by confirming the blue icon to the left of each meter name is present.
